Financial Board Member Commitments

  • Board members are asked to make an annual financial contribution at a level that is comfortable for them in support of the organization’s mission and programs.

In addition, board members are expected to:

  • Maintain regular communication with fellow board members and organizational leadership.
  • Actively participate in board meetings and committee activities.
  • Support outreach initiatives and community engagement efforts.
  • Contribute to organizational growth and expansion projects as needed.
  • Serve as ambassadors for the mission and values of Machiah’s House. 

General Overview: 

Board Member Commitment Standards
• Attend all regularly scheduled board meetings; notify the Chair or Secretary of any absence in
advance
• Act always in the best interest of the organization and the community it serves
• Maintain strict confidentiality regarding organizational matters, donor information, and internal
discussions
• Disclose any actual or potential conflicts of interest immediately and recuse from related decisions
• Actively contribute to fundraising, community engagement, and organizational growth
• Support the Founder’s vision while providing honest, constructive governance
• Uphold the organization’s mission, values, and public reputation at all times
• Complete all assigned tasks within agreed-upon timelines
• Maintain professional and respectful communication with all board members, staff, volunteers, and
community members

Open Board Positions

  

Treasurer
Financial Oversight | Compliance & Integrity

Core Duties & Responsibilities
• Oversee all financial accounts, transactions, and budgeting for the organization
• Maintain accurate and up-to-date financial records for all income and expenditures
• Track all donations, fundraising proceeds, grants, and direct contributions by donor name,
date, and amount
• Prepare monthly financial reports and present them at each board meeting
• Ensure all financial activity complies with IRS nonprofit regulations and NC State Charitable
Solicitation laws
• Lead the preparation and filing of the organization’s IRS Form 990 or applicable annual
return
• Coordinate with an independent accountant or auditor as required or requested by the
board
• Develop and manage the annual organizational budget in collaboration with the Founder
• Establish internal financial controls to prevent fraud, misuse, or mismanagement of funds

• Issue donor acknowledgment letters for tax purposes in a timely manner

 

Secretary
Records & Governance | Documentation & Compliance

Core Duties & Responsibilities
• Record accurate and complete minutes for all board meetings and distribute within five
business days
• Maintain official records including bylaws, board resolutions, meeting minutes, and
governing documents
• Track board member attendance and ensure quorum requirements are met at each meeting
• Manage all official correspondence on behalf of the board when directed
• Maintain a current roster of board members including contact information, terms, and
committee assignments
• File required reports, registrations, and renewals with NC Secretary of State and charitable
solicitation office
• Coordinate meeting logistics including scheduling, room or virtual platform setup, and
agenda distribution
• Ensure all board members receive meeting materials at least 48 hours in advance
• Store all organizational records securely and ensure proper retention per legal requirements

 

Director of Community Outreach
Partnerships & Relationships | Trust & Accessibility

Core Duties & Responsibilities
• Serve as the primary relationship builder between the organization and the communities it
serves
• Identify and engage residents, families, schools, churches, and local organizations as
partners and stakeholders
• Conduct community needs assessments to ensure programs and services remain relevant
and impactful
• Represent the organization at community meetings, town halls, neighborhood associations,
and local events
• Facilitate listening sessions and feedback opportunities with the populations the
organization serves

• Build bridges with social service agencies, healthcare providers, and local government to
expand resources
• Track outreach activity, partnerships developed, and community engagement data for board
reporting
• Champion equity, accessibility, and dignity in all interactions with community members
• Coordinate with Operations and Marketing to ensure outreach materials and messaging
reach target populations
